Working with scheduled deliveries in Historical Analytics

Overview

Scheduled deliveries allow you to send Historical Analytics dashboards to users regularly or immediately. Deliveries can be sent by email or to an Amazon S3 bucket. They are managed from the Scheduled deliveries tab within the Historical Analytics product area in the Vonage Contact Center admin portal.

If no deliveries have been scheduled, the Scheduled deliveries tab is empty.

If deliveries have been scheduled, they appear in a list that includes:

  • The name of the scheduled delivery.

  • The name of the dashboard that is delivered.

  • The delivery’s creator.

  • The current owner.

  • When the delivery will be sent.

  • to whom it will be sent.

License limitations

  • Users with the viewer license can only see owned schedules.

  • For private dashboards, only the dashboard owner can create scheduled deliveries.

Scheduled deliveries for private dashboards

Schedule delivery permissions differ for private dashboards. Only the dashboard owner can create scheduled deliveries for private dashboards. Additionally, when a dashboard is changed from Public to Private, all scheduled deliveries created by other users are permanently deleted.

Creating a scheduled delivery

If a user does not have access to Historical Analytics but you have a Creator or Viewer license, you can send them a copy of a dashboard by email or to an Amazon S3 bucket, either immediately or on a recurring schedule.

Note

  • To send a dashboard, you must be viewing it. Ensure you are not in edit mode.

  • Historical Analytics caches results for one hour. To avoid duplicate or outdated data in scheduled reports, daily schedules are recommended. Avoid scheduling reports hourly or more frequently.

To create a scheduled delivery:

  1. Go to Dashboard actions and click Schedule delivery.

  2. Define the recurrence and time of delivery.

  3. Define the destination and its parameters:

Email

Provide the email address or addresses to deliver reports to. Separate multiple addresses with commas.

Amazon S3

Provide the following parameters, which are managed directly by Amazon: Bucket, Optional path, Secret Key, and Region.

  1. Specify the format you want reports generated in.

  2. If needed, go to the Filters tab to narrow the results to the most relevant data for the specified recipients.

  3. If needed, go to the Advanced options tab to configure the look and feel of the sent dashboard.

Best practice

For reports sent by email in PDF format, we recommend selecting all three checkboxes on the Advanced options tab to use full PDF functionality.

To send a report immediately, click Send now.

Editing a scheduled delivery

When editing a scheduled delivery, you can change most settings configured during scheduling. The exception is the delivery's recurrence. To change recurrence, open the scheduled delivery from the dashboard where it was created.

To edit a scheduled delivery:

  1. Go to the Scheduled deliveries tab and click the edit icon next to the delivery you want to edit. A side panel opens.

  2. Use the panel to modify the following settings:

    • Settings: general delivery settings, including the name, destination, recipients, format, and ownership. To transfer ownership to another user, update the owner field here.

    • Advanced options: a custom message and the delivery time zone.

  3. Click Update to save your changes or Cancel to discard them.

Duplicating a scheduled delivery

To duplicate a scheduled delivery, click the three dots icon next to the schedule name in the Schedules window and select Duplicate. A copy of the delivery is created with the same settings. You can then edit the copy as needed.

Deleting a scheduled delivery

To delete a scheduled delivery, you must be both the delivery owner and hold a Creator license. If required, edit the delivery to transfer ownership to yourself before deleting.

To delete a scheduled delivery:

  1. Go to the Scheduled deliveries tab.

  2. Click the delete icon alongside the delivery you want to delete.

  3. In the dialog that appears, click Delete to confirm. The delivery is removed from the list.
